Payment reminder email

Say which invoice, how much, and when it was due, then make one clear request. The subject and body start from that. Change them, or clear them and write your own. Copy it, or send it through Stackless. Nothing is emailed from this page.

Use a due date or days overdue. If you fill in both, the due date is used.

When to send each tone

Send one note, wait, then change tone. Three emails on the same day just sounds panicked.

Friendly nudge

A couple of days after the due date, or as soon as you notice it slipped. Most people pay after one polite note.

Firm reminder

About a week overdue, or after the friendly note got no reply. Name the invoice and ask when they can pay.

Final notice

After at least one earlier reminder, and only if you will actually pause the work. Say that plainly.

Questions

What if I don’t have an invoice number?

Leave it blank. The email talks about the amount, or just “the invoice,” instead of inventing a number.

Should I mention late fees or a lawyer?

Not in the first notes. A final notice can say you will pause work until you are paid. Don’t threaten legal action unless you mean it and have advice.

Will this email my client?

Not from this page. Copy the subject and body into your own mail app, or choose Send this with Stackless. That opens sign-up (or Today’s List if you’re already in), with this note ready to review. You add their email there, then send or schedule it like any other chase. The first 5 emails are free, then $5/month. Stackless stops if they reply, unsubscribe, bounce, or mark it as spam.
